How To Stop Feeling Overwhelmed & Become Your Most Productive Self

If you’ve ever felt like you’re drowning in tasks and responsibilities, you’re not alone. In this blog post I’m sharing some life-changing tips for you to help manage and limit your overwhelm! The key to productivity isn’t actually about doing more! It’s about doing the right things in the right way. Start discovering how you can transform your life by using a few proven strategies below!

But first, let’s start by understanding what overwhelm really is. It’s not just having a lot on your plate; it’s feeling paralyzed by it. When your brain is bombarded with too many tasks, it goes into overdrive and then, ironically, shuts down. Here’s the good news: you can rewire your brain to handle tasks more efficiently. Keep in mind, we should never underestimate the power of self-care! A well-rested mind is a productive mind. Ensure you’re getting enough sleep, taking breaks, and nourishing your body with healthy foods. Then, dive into these suggestions!

Prioritize Tasks

The first step to overcoming overwhelm is prioritizing and understanding that not all tasks are created equal. In order to get started on prioritization, I recommend starting a brain dump list. Write down all the tasks you feel you need to get done. Sometimes, we feel as if we have to get something done but a feeling isn’t always the most effective way to manage our tasks. 

I personally like to use the ‘Eisenhower Box’ method. It divides tasks into four categories: urgent and important, important but not urgent, urgent but not important, and neither urgent nor important. This method helps you focus on what truly matters and allows you the permission to ditch the rest. Let’s take a look at how to apply this in real life!

  1. Is it Urgent?
    • Does this task have a deadline that is fast approaching?
    • Will there be immediate consequences if this task is not completed soon?
    • Is this something that requires immediate attention?

If the answer is “yes” to these questions, the task is likely urgent.

  1. Is it Important?
    • Does this task align with my long-term goals and values?
    • Will completing this task have a significant impact on my life or work?
    • Is this task essential for my personal or professional growth?

If the answer is “yes” to these questions, the task is likely important.

To further clarify:

  • Urgent and Important: These tasks are both time-sensitive and crucial for your long-term objectives. They often involve dealing with crises, meeting tight deadlines, or handling pressing problems.
  • Important but Not Urgent: These tasks are important for your personal or professional growth but do not have an immediate deadline. They include activities like planning, relationship building, and self-improvement.
  • Urgent but Not Important: These tasks require immediate attention but don’t necessarily contribute to your long-term goals. They often involve handling other people’s priorities, like certain emails or phone calls.
  • Neither Urgent nor Important: These tasks are neither time-sensitive nor do they contribute to your long-term goals. They are often distractions or busy work, like aimless internet browsing.

Remember, what is urgent is often apparent due to external pressures, while what is important is more subjective and requires reflection on your personal and professional priorities. For instance, answering urgent emails would be urgent and important, while decluttering your desk might be important but not urgent. Break Down Your Big Tasks

Does a massive project have you feeling overwhelm? Break it down! Divide it into smaller, manageable tasks. This approach makes it less daunting and more achievable. Remember, the journey of a thousand miles begins with a single step. To help you simplify, you can use tools like Goblin Tools or ChatGPT.

Eliminate Distractions

Distractions are productivity’s worst enemy. It’s crucial to create an environment that helps you focus. Start by decluttering your workspace. Then, tackle digital distractions. Turn off non-essential notifications and set specific times to check emails. I currently use the Freedom App to help me put certain restriction on my apps. You’ll be amazed at how these small changes can significantly boost your focus and attention! 

Plan Effectively

You’ll find that creating an ideal schedule and plan for your week, where you add your nonnegotiables and negotiables, is a game changer! Everyones negotiables and non negotiables will look different. Don’t compare yourself to someone else or start adding in what you should be doing because some else on the internet said you should. This plan is more so a list of what you believe needs to happen in order for you life to run smoothly. Take a minute to write out your nonnegotiable and negotiable list areas in your life. 

For example, a nonnegotiable might be “Work.” We have to do it in order to sustain our life. A negotiable is when we clean. I personally do this in my google calendar by creating different calendars for different important areas of my life. 

Plan Based On Your Energy

Our energy isn’t always the same especially if you’re a woman you can probably relate that some mornings are more about hitting snooze than conquering the world. That’s totally okay! It’s all about tweaking our routines to match our energy vibes for the day. That’s why having different routine energy variations is key. My friend Jess summed up this idea perfectly!
